Connecting to your Accounting Software

Accounting is hard enough as it is- that's why we connect to some of the biggest names in accounting software. We have worked hard with our partners to ensure we connect to them seamlessly- therefore making your life easier with no double data entry!

By syncing with your accounts software, you can also import all your existing customers and contacts in one click.

So how do you connect? Read on to understand our accounting set up page.

Where do I start?

  1. Simply click on the Settings Icon
  1. Then click on Accounting

  1. Now, choose your account software that you'd like to connect with:
    1. Quickbooks set up guide
    2. Xero set up guide
    3. Sage One set up guide

  1. Import your customer list and set up your sales taxes

Following the steps of importing your customers once you have synced with your accounting software. Edit a Sales Tax using the pencil icon or add an extra sales taxes you need by clicking Add New Sales Tax. Keep in mind that this data needs to match exactly to what is in your accounting software.

  1. Term Codes

What terms do you have set up for your customers to pay you? Do you require payment on delivery? Net 15, or Net 30? You can edit your list of term codes, or add additional term codes by clicking on the green Add New Term Codes button. Keep in mind that this data needs to match exactly to what is in your accounting software.

  1. Payment Methods

What payment methods do you offer for your customers? Simply edit the type by clicking the pencil button or add a Add New Payment Method. Keep in mind that this data needs to match exactly to what is in your accounting software.

  1. Chart of Accounts

Select the COAs that you want to import into shopVOX. You do not need to import all of your COAs. You can edit or add your own to suit your accounting software information. This helps us to to the system and ensure all your info is sync'd across to the right place in your accounts software. The required list of COAs that you need to import into shopVOX are:

  • Accounts Receivable
  • Undeposited Funds
  • Sales Tax Payable
  • Income Accounts (can have multiple)
  • Cost of Goods Sold Accounts (can have multiple)
  • Purchase Order Account (optional)
  1. COA Mapping

Map your Chart of Accounts to the correct COA category that you see here on the screen. There are specific COAs that your accounting software will require to use with shopVOX when syncing invoices. Those are:

  • Accounts Receivable
  • Undeposited Funds
  • Sales Tax Payable
  • Income Accounts (can have multiple)
  • Cost of Goods Sold Accounts (can have multiple)
  • Purchase Order Account (optional)

Match up a default account to each listed here on the COA Mapping section.
